Archive or delete a customer record

Use the available customer lifecycle action carefully when a record should no longer be active.

Customer lifecycle actions affect a record that may be connected to operational history. Review the customer and related work before removing it from active use.

What to check

  • Confirm that this is the correct customer and not a duplicate that should be merged or retained.
  • Review active quotes, bookings, invoices, properties and contacts that use the record.
  • Use Archive when the customer should stop appearing as active but the historical context needs to remain.
  • Use a delete action only when it is available and you have confirmed that it is appropriate for the related data.

Still not working?

If the action is unavailable, the customer may have related records, or your role may not allow the change. Review the displayed restriction rather than attempting to recreate the customer.

Archive first when history matters

Archive is the safer choice for a customer with quotes, bookings, invoices or communication history. It keeps the record available for past work while taking it out of normal active use.

Why delete may be unavailable

ScapeOne protects related operational and financial records. If Delete is not shown or is refused, keep the record archived and resolve any duplicate or data-quality issue through the appropriate customer workflow.
