Contacts are the named people associated with a customer. They can be used where the workflow asks you to select a recipient or site contact.

Steps

  1. Open Customers and select the customer.
  2. Open the Contacts area.
  3. Add a contact with the name and available email or phone details, or edit an existing contact.
  4. Review the communication preferences before saving.
  5. Archive a contact when it must no longer be used for new work or communication.

What happens next

Future records can use the current contact where that option is available. Archiving preserves the historical record while preventing it from being treated as an active choice.

Choose the contact carefully

Use a named contact when a quote, invoice or booking workflow asks for a recipient or site contact. Check the email address, phone number and communication preference before sending a customer-facing message.

Archiving a contact

Archived contacts remain in history but are not an active choice for new communication. Archive a departing or outdated contact instead of replacing their details with another person.
