Payment recording updates the invoice payment information and remaining balance. It is separate from issuing or sending the invoice.
Steps
- Open the invoice and check the customer, invoice number, total and current balance.
- Select Record payment when payment has been received.
- Enter the amount and payment details required by the form, then save.
- Review the paid amount and remaining balance, especially after a partial payment.
- Use the due date and outstanding balance to review invoices that require collection attention.
Important
Do not mark an invoice paid until the payment is confirmed through your approved process.
Record the actual amount
Enter a payment only after it is confirmed by your approved process. A part payment reduces the balance and changes the invoice to Part paid; it does not settle the invoice until the full amount has been recorded.
Review overdue work
An invoice needs follow-up when it remains unpaid after its due date. Review the due date, balance, payment history and customer communication before contacting the customer; ScapeOne does not make a collection decision for you.
