An invoice can have a lifecycle status and a payment state. Review both before deciding what needs to happen next.

Lifecycle checks

  • A draft can be reviewed and edited before issue.
  • Issue and Send Invoice are separate actions.
  • Recorded payments affect the paid amount and balance due.
  • Void is a controlled lifecycle action and should be used only after reviewing the invoice and related workflow.

Common question

An invoice can be sent and still unpaid. Check the balance and payment records rather than treating delivery as payment.

Current invoice statuses

The invoice workflow uses Draft, Issued, Part paid, Paid and Void. Sending records delivery separately from payment, so an issued or sent invoice can still have an unpaid balance.

Correcting an invoice

Review the invoice and its payments before using Void. Do not use a payment entry, delivery action or status change to correct a pricing error without first checking the permitted invoice edit or void workflow.
